HKN Officer Midnight Meeting Minutes – 12th December 2005 ============================================================== Attendance ----------- Current officers: achoy, chris, densmore, dfang, dlow, don, dsl, echeung, ihaque, jhristu, johnb, johnz, jtran, kli, kmak, lahini, lenwei, liaor, lili, mangesh, mbasoglu, nammai, pamela, ramesh, rsun, rwaliany, sahandn, sameer, stephen Guest: aaronj, anjali, ezeng, george, jchou, jele, joe, rchen, ssl, vu Directives ----------- 1. Sign up for tutoring. (Finals week) Each officers gets 2 hours. Email tutor@hkn to sign up. 2. HKN account: Login ASAP and change password to a strong password. Email echeung@hkn.eecs.berkeley.edu if account is not working. 3. HKN email: Check it often and use mailing list associate with your position. (Old officers are on mailing list and can provide feedback) Use your HKN email address when sending out emails. DO NOT SEND LARGE ATTACHMENTS. Agenda ------- -Introductions -Officer Retreat -Talk about the good things and bad things from last semester -Suggestions to improve -Comp serve’s spiel about HKN account and email -Tutoring during final’s week 0. Officer Retreat: -------------------- All officers are required to go to officer’s retreat which is held on the first weekend after school begins. Homework are banned and further information will be given by Activities 1. Good things about previous semester: ---------------------------------------- President- -Interesting challenges from the president Vice President- -ihaque's performance challenge was awesome -Good new initiate turnout at officer elections Corresponding Secretary- -Resolving of the course surveys (opt-ins) -Got member's certificates on time and had no spelling errors Treasurer- -Everyone paid for retreat and banquet (Treasurer had to hunt them all down) -New reimbursement forms Departmental Relations- -Gm Speakers were awesome -Faces of research was awesome and allowed us to work with other societies Publicity- -new thecouch@hkn mailing list for non HKN members promoting HKN within EECS community -Cool holiday spirit display case Industrial Relations- -New computers from AMD -ILP really likes us (Industrial Liaison Program) -A lot of infosessions Activities- -Good events such as rock climbing, ice skating (hot chicks =P) and broomballing -Retreat house was pee eye em pee -At candidates were awesome -Props to jchou and joe for bringing in four candidates as officers -No one got pwned at dodge ball -Even though no one went out to events activities still survived with joe Bridge- -Slideshow was awesome (got some profit from this) -Yearbook completed -Props to Mangesh to drove back Computing Services- -Props to fixing mu (which suicided), broken bridge CPU, and random other stuff -Virus filtering for HKN mail Student Relations- -Casino Night was good -A lot of donut runs and pizza runs -Casino Night allowed inter-societal events Tutoring- -A lot of study sessions -Tutoring script for tutoring schedule Misc- -Banquet location good and bartender was excellent. (He didn't card) -New office layout -Drunken 161 coding (shot per bug) -Good relations with UPE (They moved out finally) -Soda office didn't flood (yay!) -Soda's office cleanliness -Super enthusiastic candidates -Officers are understanding about candidates going over the deadlines -Officers are friendly towards candidates -Candidates performance challenges were awesome -A lot of performance challenges -Photoscavenger hunt judges were awesome -Like new layout for elections with pictures and notes -Officers got to know the candidates even though they weren't in the committee -Sarah Beth for driving back to retreat after going back to Berkeley -Props to candidates planning community service and driving to events We got Enron settlements -Free syslunch, faculty lunch and auwicsee breaktime 2. Things to improve: ---------------------- President- -Starting Initiation late because ezeng said initiation starts at 6:15 at OM Vice President- -Resume books and course surveys requirement announced too late -GM3 went too long -CM conflict with midterms Recording Secretary- -Minutes were late (However last few minutes were on time) Corresponding Secretary- -Need robe for initiation -Course survey was painful -Course survey should be planned earlier Treasurer- -Publicity did not get enough funds Departmental Relations- -Rushed to get gifts Publicity- -Needed more variety in pub flyers -More announcement needed in classes -HKN services not publicized well (esp. Course surveys) -A lot of people didn't know who Noaa was and did not read publicity mail Exam files- -Exam conversion is painful or too long Industrial Relations- -Indrel Response time was too long -Websites are old (indrel page not updated) -Companies tried to get our resume books for free -Not sure if we are getting what we want from career center with the career fairs Activities- -Retreat advertisement was late -Community service planning was bad -Candidates had to park illegally for 40 minutes waiting for people -Activities event had discrepancies with meeting time -Activities time changed without notice -HKNlympics not well planned -Dodgeball was not played at its usual place -Activities did not start on time Bridge- -Forgot to bring projector (no clutch) -Some of bridge captions were misspelled -Yearbook price was high (Fedex kinkos raised price) Computing services- -Project Ohm was written broken (Geoff... Sameer said this don't blame the rsec) -Lack of Project Ohm documentation -Project Ohm sucked (Geoff is going to be pissed) -Computing services projects giving out late Student Relations- -Broomballing pwned all (BLOOD EVERYWHERE) Alumni Relations- -AAD venue was kinda.. not good -Alumni broomball was not advertised early Tutoring- -Tutor not show up on time Misc- -Election took forever -Not enough Claim Jumpers, sushi house and fooooood -Too many candidates ran by proxy -Officers at attendance at events are generally low -Needed more drivers for events -Officers can't make OM -Officers did not care about AAD -Number of officers that chilled after OM decreased -Not enough officers having enthusiasm -Not enough fogies at retreat -Too many landmines on hiking paths at retreat -Moore room issues didn't work out so well -Low candidates attendance at initial events -Challenges could be improved (no jumping jacks! what kinda challenge is that?!) -Low officers hangout -Too many officers taking CS 150 -Workload was not balanced within the Committee -Candidate projects not well balanced (Some committee had harder projects) -Oregon Trip (We LOST) -HKN office was closed at certain times during course survey time -No clear idea of how much each committee needed to spend -Needed more inputs from officers about GM Speaker gifts -Wrong message sent to candidates telling them that they don't need to be at election to run 3. Suggestions: ---------------- President- -OM should be schedule so that more officers can make it Vice President- -VP should force to officers to come up with a set challenges Corresponding Secretary- -Earlier course surveys sign up -Earlier reverse engineering on project ohm Publicity- -Pub should have special email address sending out weekly emails Activities- -Respect the time that the activities is suppose to start Bridge- -Start working on slideshow earlier Computing Services- -Make calendar more visible and easier to read on HKN website -Reverse the order of announcement of events on HKN website -Have a sign up for activities online -Student services featured on the website on the main page -Try to make some serious changes (PROJECT OHM NEEDS HELP) -Figure out the computer situation with new computers EJC representative- -EJC Rep should have an EJC inter-societal broomball tournament Misc- -Officers should hang out more (Go to dinner, more FOOOOD) -More structural changes to election (Something prepared for people to read) -Election should have a template with the most frequently addressed questions -Restrictions with proxy running -Have other people conduct the election other than the president -Keep Offices cleaner -Soda tutors should clean office 4. Committee Meetings with President ------------------------------------- President will send out emails to try to hold committee meetings either tonight or tomorrow. 5.
