HKN Officer Meeting 4/14/05

***DIRECTIVES***
1. Let Robert know if you're interested in being part of the panel at Cal Day, or if
you still want to sign up to help give tours
2. Let Donny know if you're interested in going on the Scharffenberger Chocolate Factory Tour
(There's one slot open).
3. Check the Career Fair time slot you're signed up for, and go to the Career Fair!
4. Sign up for the Great America trip by Monday, April 18
5. Let Tina know if you're interested in meeting with UPE tomorrow regarding the contract

***MEETING DETAILS***
1. Candidate Stuff
-Talk to your candidates to see how they're doing on requirements
-The semester's coming to an end (only about 3 weeks left)
-Talk to candidates to see if they're interested in being an officer
  -Answer their questions, encourage them to run for office, etc.
 
1.5 Prospective Students / Cal Day
-2 prospective students are coming tomorrrow; 1 is interested in CS, the other one is general
  -Sign ups:
  -10:30AM- ttd
  -2:15PM- ttd
  -Mangesh might come to one of the slots
-Each tour lasts 15 minutes to an hour
-Just take them around and answer their questions about Cal and engineering
-Cal Day
  -Morning shifts start at 9:30am to help set up
  -If you want to sign up for Cal Day, sign up w/ Robert
  -He sent out an email asking for time slots
 
2. Career Fair
-Stephanie sent out an email with time slots
  -Check the email for your time
-Tell her if she signed you up for a wrong time slot
-Volunteers will be wearing the HKN shirts
-Someone from HKN will be at the front when you show up for your shift
-If you can come earlier or stay later, that would be greatly appreciated
-Shift descriptions:
  -Some people will be manning the front with ID cards
  -Some people will help recruiters set up tables (most likely the people with the morning shift)
  -Bring the recruiters food and water
  -Talk to them and make them happy
 
3. Citrix Infosession
-Tuesday, 6-8PM in 3107 Etcheverry
-Sign-ups for slots:
  5:30 ttd isaac george
  6:00 ttd isaac george
  6:30 ttd isaac george
  7:00 ttd isaac george
  7:30 ttd isaac george
 
4. Great America
-Great American trip is currently planned for Saturday, April 23
-Noaa points out that the Engineering dance is at 8pm
  -Donny: Great America is open from 10am-7pm, so there shouldn't be a problem
-We'll be meeting at 9am at HMC
-The trip is funded by Act
-Donny has to get the group tickets 3 days in advance, so everyone has to be signed up by Monday, April 18 by 11:59PM
-Act needs pub to send out an email to everyone to let them know the details
 
5. Banquet
-Banquet is coming up on May 7
-Initiation is going to be at 5:45pm
-Banquet will be in SF at an Italian place called The Purple Onion
-Look out for an email from Tina with more details
 
6. Office Contract with UPE
-The current contract is expiring this year
-Tina will be meeting with the UPE president tomorrrow about some of the issues we want to talk about
-Does anyone have any concerns about current sharing conditions in Soda? (refrigerator issues, etc)
  -Noaa: They don't have a computer, so a lot of the time they're using our computer
  -A question was raised about the proportional office hours clause, so Tina will read the current contract
-Summary of the current agreement (since 1995):
  -HKN and UPE will share office space
  -Both societies should make an effort to have as many OH as possible
  -The outside bulletin board is meant for activities pertaining to either society
  -Fridge contract:
    -1 shelf for HKN, 1 for UPE
    -Freezer space to be split equally
    -Ownership of the fridge belongs to HKN, but UPE can use the space described above
    -All maintenance costs split 50/50
-Any comments?
  -Leonard: tutoring hours are unreasonable
    -UPE is much smaller than HKN and they have more offices hours per person than us
    -Thus doing tutoring per quota doesn't make sense because they are so much smaller
  -alexf: the contract is too long-term (society sizes change)
    -Perhaps change the contract to 2-3 years
    -2 years is almost a complete turnover of officers for a society, so a lot can change in a few years
-By the way, please clean up the office and throw away your leftover food
-After Tina talks about the contract with UPE tomorrow, she'll bring the revisions back to OM
-alexf: anyone who's in the office is required to make themselves available for tutoring
  -If you're in the office, leave the door open so people can come in and ask questions
-Mangesh: but what if you come in during non-office hours?
--> If the door is open, you should definitely have tutoring
-What about the clause about not taking disagreements to higher authorities?
  -What happens if there's conflicts?
  -alexf suggests a resolution by broomball
-We don't change the password each semester
  -It's been a while...maybe the password should be changed
-Li: is there something in the contract about where to put pictures?
  -alexf: UPE doesn't seem to have much demand for wall space, so it doesn't seem to be a problem
-Andy wants to get a bean bag because there aren't enough seats in Soda
-Chris notes that both UPE and HKN go to classes to advertise tutoring; it seems like a waste of effort
  -We should coordinate our efforts
-If you're interested in meeting with UPE tomorrow, the meeting is going to be at 1 pm
